Organizational Field-based Approval Chains Configuration

Overview

Organizational (org) field-based approval chains in Evolve ATS are another type of approval chain customers can set up. The configuration for these is very similar to Field-Mapped approval chains, with a few key differences. 

Organizational fields are field types that can be mapped and displayed on a user profile in Evolve ATS. These fields provide more context to organizational structure outside of the standard fields Evolve requires. Commonly used organizational fields are HRBP, Manager, CEO, CFO, SVP, Finance Approver, etc. This information would then be added to the user profile based on an employee import. These fields can also then be used when creating approval.

Configuration

The process for configuring organization field-based approval chains includes:

  • Setting up/adding organizational fields 
  • Employee Import 
  • Submit a Help Center ticket for the back-end configuration 

NOTE: When building an organizational field-based approval chain, the hiring manager determines the approvers on the requisition.

Add Organizational Fields

Navigate to your user menu > Users > Manage Employee Fields

Click the Organizational Fields dropdown.

Click Edit.

Click + Add Organizational Field.

Name the field and determine if you want it displayed on the Employee Detail Page or My Account Profile using the toggles.

Click Save.

Employee Import

Navigate to your user menu > Users > Import Data and View Status Log.

Click Import Employees.

You can either:

  • Upload a CSV file, or
  • Download a template to use as a base (typically only needed if this is the first time you're doing an import) and then upload the CSV

.The organizational fields that were just added will also need to be added to the CSV file. Once the fields have been added and the data looks correct, the file can be uploaded. Once the file has been uploaded and the organizational fields have been added, submit a Help Center ticket, and the Support team will complete the back-end configuration steps. 

Back-end Configuration

Once the Support team has completed the back-end configuration, they will contact you and ask that you test the approval chains on your side to ensure they are working as you envisioned.
