Overview
Once your Admin enables Personal Email Templates for your company, all users with access to candidates can create and add new templates.

Create Personal Email Templates
Limitation: Personal Email Templates will not be compatible with Evolve ATS Custom Languages and will not be translated into other languages. However, international characters can be added to the templates by copying and pasting.
To create a personal email template, navigate to your user menu and then click My Account.
Click My Templates, then select Add New Template.
You can then add the following to the template:
- Name – The name value is internal-facing only; candidates will not see it.
- Subject - The subject values are candidate-facing; candidates will see it.
- Message - The message values are candidate-facing; candidates will see it.
- Personalize - The email template with placeholders from the drop-down menus in the Subject and Message fields.
Click Save.
Using Personal Email Templates
Personal Email Templates help recruiters create and easily reuse standard messages for communicating with candidates, using their own style and adding their personal touch. In addition to delivering flexibility to your talent acquisition team for creating personal email templates, the candidate experience is improved as candidates will feel they receive more personalized communications.
Personal Email Templates can be used for the following types of messages:
- Candidate Messages
- Candidate Rejection Messages
Personal Email Templates can be accessed from the following two areas within Evolve ATS:
- Candidate Application/Profile > Green Fly-out Menu
- Candidate List page > Action > Send Message
Candidate Profile: Green Fly-out Menu
On the candidate profile, click the envelope icon.
Within the Send Message pop-out, you can:
- Select if you want to send the message as yourself or Send Anonymously
- Select My Templates
- Choose a Template from the drop-down
- Edit the body of the message
Click Send.
Candidate List Page Access: Send Message
From the Candidates List page, the user can use Personal Email Templates to send mass notifications, such as rejections.
NOTE: Please remember to check that the proper signature placeholder is in place for sending anonymous candidate messages.
From the ribbon menu at the top of your screen, click the Candidates tab.
Select the checkbox next to the candidate's name and click the Actions drop-down menu.
Click Send Message.
You can then do the following:
- Select if you want to send the message as yourself or Send Anonymously
- Select My Templates
- Choose a Template from the drop-down menu
- Edit the message
Click Send Message.
