Q. What's the schedule for data to be reportable once entered into the system?
A. There is no specific time of day. The load runs perpetually—the last step is to restart the process. The average frequency you can expect is a 4-6 hour weight.
Q. Is there a way to pull a list of all scheduled and/or reports that have run in the last six months?
A. Please submit a Help Center ticket for assistance pulling this information.
Q. What is the difference between the application hired date in the past 24 hours and the application hired date in the past 24 complete hours?
A. The Past 24 hours look at the last 24 hours from the current hh:mm:ss, which can lead to partial hours being added. This can make the data appear slightly skewed. The complete 24 hours only give the last 24 full hours, so you won't ever have a partial hour. We generally recommend doing past 24 complete hours.
Q. If a requisition is closed, filled, and reopened, do the days open count reset or pick up where it left off?
A. Days open is calculated as the time from the original date opened to the date closed/filled (or the current date if still open) minus days closed/on hold. Or pick up where it leaves off rather than reset.
Q. Do we have a way to report how many applicants started an application but did not finish it?
A. Unfortunately, no. However, if you have Talemetry Apply, this can be reported.
Q. Is there a way to increase the maximum number of rows that can be downloaded simultaneously under Analytics?
A. The limit in the browser of 5000 cannot be changed at this time. You can retrieve all results by selecting All Results when downloading.
Q. What is the difference between Copy vs. Move in Analytics?
A. You can copy a report within the overarching section (i.e., My Reports) to the same section. You can also copy a report between sections from My Company → My Reports or vice versa. This is ideal if you want to share a report with others in your company. You can only move reports within an overarching section (i.e., move a report in the My Company section between subfolders). You cannot move reports to a different section, My Company → My Reports, or vice versa.
Q. Can I create a report with notes on a candidate's profile?
A. Unfortunately, no. The notes field is not included in the data ported to the analytics tool.
Q. Can I create a report that includes full job descriptions?
A. Unfortunately, no. The job description field is not included in the data ported to the analytics tool.
Q. Why am I not seeing custom fields or workflow states populate data in a report?
A. There could be several reasons for custom field or workflow state data not populating in a report, including:
- Renaming a standard field in Jobvite ATS – While you can rename a standard field, the field will show the original field name within Analytics.
- Changing the HRXML or CSV Header in Recruitment Marketing – It is recommended to make the HRXML node the same as the display name, but as a single word.
- If a new custom field is created, it will not appear as an option for reporting fields or filters until a value is entered in that field, either on a requisition or a candidate.
- Data indexing can take around 6 hours to load, so if a candidate is only in a workflow state for a short period, this information might not be displayed. For example, if you are reporting on background check status, candidates typically remain in the Initiate Background Check state for only a short period (approximately 30 minutes). If you’re using the Workflow State – Current field within your report, the Initiate Background Check state might not populate because the candidate wasn’t in the state long enough to be indexed.
- If a specific value is not available as a filter option in Analytics, it means that it hasn't been reported on yet as a column/field value. However, it can be manually entered in the filter by using "contains" instead of "is equal to." If a custom field on a candidate or requisition is cleared and left blank, it will not be updated during the regular sync, but only after a weekend indexing.
Q. What is the difference between the Application Source Type and Application Source?
A. Application Source Type will reflect the primary source shown on the candidate profile, while Application Source can show additional details if applicable. For example:
- Application Source Type = Job Board
- Application Source = Zip Apply
However, if there are no additional details for Application Source to pull from, the value will be null. For Example:
- Application Source Type = Career Site
- Application Source = null
Q. How does the Requisition Days on Hold field calculate?
A. This data is calculated based on the time the requisition is in the On Hold status to Open. If the requisition status is changed from On Hold to Closed (or any status other than Open), the value will display as null or 0.
Q. Why does the date column show a day behind?
A. Dates can show differently based on the time zone of the user viewing the date. Dates are typically displayed in the UTC zone.
Q. Can I filter by date range or create a custom date filter within Analytics?
A. Unfortunately, filtering by date range is not currently supported. However, you can utilize custom dimensions. Please see Looker functions and operators for more information.
Q. Why do I see duplicate candidate rows when running a report?
A. Duplicate candidate rows can happen for several reasons. For example:
- A candidate with a single source that does not have edited custom fields will always display one row in the report.
- When any custom field on a candidate is edited manually, a custom field report that identifies the custom field on the profile will also display that field at the candidate level (either with the edited value, if available, or empty).
- Candidates with two profiles and edited custom fields will show three rows in the report if at least one of the reported custom fields is found.
Q. Why can't I find the new field I created in analytics?
A. If a new custom field is created, it will not appear as an option as a reporting field or filter until there is a value entered in that field on a requisition or candidate.
Q. Why can't I find a specific value in my report filter options?
A. If a certain value is not available as a filter option in analytics, this means it hasn't been reported on yet as a column/field value, but it can be manually entered in the filter by using "contains" instead of "is equal to."
