Introduction
In Recruitment Marketing (RM), the Referral Notifications area is used to configure employee notification emails triggered when changes to a referral are made. You can select a specific user to display in the 'From' line on email notifications and choose email templates to send or not send based on status, including the 'Ineligible' template. You can also select a reminder template for candidates and employees and configure the number of days after the referral to send the reminder.

Notifications
Navigate to your user menu, then click Applications.
Select Referrals, then click Notifications.
The Manage Referral Notifications page will be displayed.
On the Manage Referral Notifications page, you can configure the following:
- From User – When notifications are sent, this user's name will appear in the 'From' line of the email. The default is Default User, which is an Evolve RM system user. Using a local company user is highly recommended as this improves trust with the employees and candidates.
- ATS Dispositions - You can choose what email template to send to employees for each of the following disposition changes:
- Referred - The initial status when a referral is made.
- Applied - The referral status after a candidate applies for the job (in the apply workflow or in the ATS). This is updated when the candidate is synced from the ATS to Evolve RM.
- In Process - The referral status when a candidate is in various mapped in-process statuses in the ATS.
- Offer - The referral status when a candidate is presented with an offer.
- Hired - The referral status when a candidate is hired.
- Not Successful - The referral status when a candidate is moved into an unsuccessful status in the ATS.
- NOTE: For ATS job disposition changes to apply to these referral notifications, the ATS disposition statuses must be properly mapped and configured in Source Tracking (Settings).
- NOTE: If the Candidate Consent to Share Updates feature is enabled, then the status notifications for Applied, In Process, Offer, Hired, and Not Successful are controlled by the candidate's consent. If collected, then the notification emails will be sent. If not collected or consent is not given, then the notification emails will not be sent.
- Ineligible - You can choose what email template to send (or not send) to the employee when a referral is determined to be ineligible for an incentive bonus.
- Reminders - You can choose to enable reminder emails to be sent to candidates and/or employees when a referral candidate does not apply.
- Remind Candidate - These email reminders go to the referral candidate if they do not apply.
- Select a Candidate Template to be used when sending a Reminder Email – This is used to remind a candidate who was referred to a job if they do not apply for that specific job. The default is Do Not Send. If you choose a template, you must also select the number of days after the referral to send the reminder.
- Select a Candidate Template to be used when sending a Reminder Email when there is no job available - This is used to remind a candidate who was a general referral (if they do not apply to ANY job). The default is Do Not Send. If you choose a template, you must also select the number of days after the referral to send the reminder.
- Remind Candidate - These email reminders go to the referral candidate if they do not apply.
- Remind Employee – These email reminders go to the employee who referred the candidate if the candidate does not apply.
- Select an Employee Template to be used when sending a Reminder Email - This is used to remind an employee who referred a candidate to a job if the candidate does not apply for that specific job. The default is Do Not Send. If you choose a template, you must also select the number of days after the referral to send the reminder.
- Select an Employee Template to be used when sending a Reminder Email when there is no job available - This is used to remind an employee who referred a candidate as a general referral (if they do not apply to ANY job). The default is Do Not Send. If you choose a template, you must also select the number of days after the referral to send the reminder.
For each of the options above (excluding From User), the email template options in the drop-down include:
- Do Not Send – This is selected by default.
- Employee Notification - Default System Template – This is a system default template and cannot be edited.
- Referral Templates (Custom Templates) - Any template created in Referral Templates.
