Introduction
The Centralized Lists page in Evolve Recruitment Marketing (RM) allows you to view, create, and edit lists of data, including Display Name and Name/Code. You can also import or export data into these lists. These lists are used across various modules in the Evolve RM platform, including:
- Jobs - Custom Fields (List items)
- Jobs - Standard Fields (List items)
- Apply Workflow - Questions - Answers (Multiple Choice question type)
- Source & CRM - Custom Fields (List Items), Standard Fields (List Items)

Prerequisites
The Centralized Lists global feature must be enabled for your account. If it hasn’t been enabled yet, please submit a ticket through the Help Center.
Centralized Lists
Navigate to your user menu, then click Applications.
Select Common, then click Centralized Lists.
The list of Centralized Lists displays all lists configured by users or synced from the ATS API list sync. Each list shows the following data:
- Name - The display name of the list.
- External ID - The unique ID of the list defined by the user or via the ATS API list sync.
- ID - The internal ID of the list.
- Edit - Edit the list (display name, external ID, and the list items).
- Delete - Delete the list.
Filter Centralized List
To filter the lists, enter one or more keywords that match the name or external ID, then click Apply Filter.
To sort the lists, click Name or External ID.
Click the arrow to sort in ascending or descending order.
Add List
On the Centralized Lists page, click +Add List.
Fill out the following fields:
- Name - The display name for the list.
- External ID - The unique ID for the list.

Items - You can create zero to many list items with the following details:
- Display Value - The name of the item is displayed to users.
- Value - The unique item ID/code stored when this list item is used.
- Delete - Delete any entry of a list item.
- Add Item - Add a blank row to create additional list item values.
- Import Values - Select a CSV file from your computer to upload to Evolve RM, replacing any previous items on the list.
- Scroll to Bottom - This action allows you to go to the bottom of the list of items. This is helpful when many items in the list require a lot of scrolling.
Click Save. You will be directed back to the Centralized Lists page, where you can view the list you created. If you click Cancel, no changes are saved, and you will be directed back to the Centralized Lists page.
View List
To view a centralized list, click the list name.
The following information is displayed:
- Name - The display name for the list.
- External ID - The unique ID for the list.

Items - You will see the list items with the following details displayed:
- Display Value - The name of the item displayed to users.
- Value - The unique item ID/code stored when this list item is used.
- Scroll to Bottom - This action allows you to go to the bottom of the list of items. This is particularly helpful when the list contains many items that require extensive scrolling.
- Download - Download a CSV file (named Name.csv) that contains a list of all the items. See Sample Import/Export CSV Format for more information.
- Edit - Edit the list and its items.
- Cancel – Discard changes and return to the Centralized Lists page.
Edit List
You can edit an existing list by clicking Edit.
The following information is displayed:
- Name - The display name for the list.
- External ID - The unique ID for the list.

Items - Edit existing items or create additional items with the following details:
- Display Value - The name of the item displayed to users.
- Value - The unique item ID/code stored when this list item is used.
- Delete - Delete any entry of a list item.

- Import Values - Select a CSV file from your computer to upload to Evolve RM, replacing any previous items on the list.

- Update - Save changes and return to the Centralized Lists page.
- Delete - Delete the current list.
- Cancel - Discard changes and return to the Centralized Lists page.
Delete List
You can delete a list from either the Lists page or the Edit page. To delete a list from the Centralized List page, click Delete.
You will be prompted to confirm that you wish to delete the list. Click OK; the list will be deleted. NOTE: If you select Cancel, the pop-up will close, and the list will not be deleted.
Sample Import/Export CSV Format
Centralized Lists can import a CSV file into a list or generate a CSV list download. The CSV format includes two fields:
- Value - This is the display value of the list item.
- ID - This is the unique ID for the list item.
