Portal Templates

In Recruitment Marketing (RM), the Portal Templates page allows Company Administrators to manage the templates used for candidate communications via the Candidate Portal. Each company includes system-generated MyPortal templates for every RM-supported language. Admins can create and manage an unlimited number of custom templates.

Select the Campaigns tab, then click Templates.

The Portal Templates page displays the following information:

  • Template Name - The unique name of the email template.
  • Subject - The email subject of the email template.
  • Careersite - The configured career site (if specified. Click on the link to visit the career site (in another browser tab).
  • Created By - The name of the user in your company who created the template, or Services if created by the Employ Services team.
  • Published - Whether the email template is published or not.
    • Checkmark - The email template is published and can be used in various configured workflows and for sending emails.
    • X - The email template cannot be used and is not visible in other modules to select.
  • Locale - The language of the email template. The default is no locale.
  • Updated At - The date the template was last updated. Hover to see the exact date and time.

To see specific template actions, click the menu icon and select one of the actions:

  • Edit - Edit the email template. NOTE: Templates that are created by “System” will not be editable. However, you can preview a system template to view its content, or you can clone the template to save an editable copy of the system template.
  • Clone - Make a copy of a given template. You can then rename, edit, and save the template in your name.
  • Delete - Delete the email template. You cannot delete an email template that is in use. NOTE: Templates that are created by “System” cannot be deleted.

The following actions are available on the Portal Templates page:

  • Search by:
    • Template Name - Enter full or part of the template name in the search field.
    • Subject - Enter full or part of the subject in the search field.
    • Created By - Enter the full or part of the user name in the search field.
  • Filters
    • Created By - Select the user who created the template. The default is all users.
    • Published - Filter by published. The default is all statuses.
    • Locale - Select the locale of the template. The default is all locales.
    • Careersite - Filter by the template career site. The default is all career sites.
  • Sort By
    • Template Name - This is the default selection in ascending order.
    • Subject
    • Created By
    • Locale
    • Updated At

Create New Template

On the Portal Templates page, click Add New Template.

On the New Portal Template page, enter the following information:

  • Template Name - The name that will appear on the lists of email templates available from Send Email and Send Mass Email.
  • Default Career Site - For future use in Candidate Portal. Leave as the system default.
  • Published -Toggle this setting to publish your template and make it available from the lists of templates on Send Email and Send Mass Email.
  • Locale - Select the locale (which encompasses both language and culture) for the email template.
  • Subject - The subject of your email, where the template will be used.
  • Message - The message for the email template.
  • Special Merge Fields - The Candidate Portal has some special merge fields needed for this use case.
    • {{PortalBrand.company_name}} - The company name from the Brand.
    • {{PortalPerson.name}} - The name of the candidate (if known). Remember that when creating email templates, many candidates may not have a name (i.e., those set up via Candidate Job Notification).
    • {{PortalPerson.auth_link}} - The is the authorization link. You can put it behind a button or image, but it is also recommended to display the entire link itself.

Click Create to save your template.
