Job Board Licenses

Recruitment Marketing (RM) offers integration with various external database sources, including popular job boards. This allows you to search for candidates for your jobs or pipelines in external database sources without leaving RM. Users with an active job board license can download candidates into RM and then perform actions, including emailing, adding to a job or folder, and uploading to their ATS.

To activate an external database source or a job board for an RM user, your external license must be set up in RM. You can set up your license in your User Settings. Alternatively, a Company Administrator can set up licenses for any company user on the Job Boards Licenses page.

Audience

Company Administrator (administration of job board licenses for all users: Applications > Source > Job Board Licenses)

All users (administration of the user’s job board licenses: user menu> Job Board Licenses)

Job Board Licenses - Administration

If you are a company administrator, navigate to your user menu and then click Applications.

Under Source, select Job Board Licenses.

The Job Board Licenses page will be displayed.

Add Job Board License

On the Job Board Licenses page, click ADD JOB BOARD LICENSE.

You will see a list of integrated job boards. You can type the beginning of the name to find the one you are looking for. Select a job board.

You will see the New License pop-up. The pop-up will display the requirements for that license, including username, password, and possibly additional fields required by the job board.

  • Username - Enter the license username if required.
  • Password - Enter the license password if required.
  • Enter any other required field related to the license identification (this will vary by job board).
  • Total Views - Enter the number of resume downloads allowed for the license (this is based on the contract between your company and the job board).
  • Frequency - Select an option from the drop-down that corresponds to the license credits renewal period (per day, per week, per month, or per year).
  • Contract Renewal Date (optional) - Enter the date of the license renewal.
  • Views Per User Per Day - This is an automatically calculated field that will determine the number of credits available to each user of this license per day. The number is calculated based on the values in Total Views, Frequency, and Search Access fields.
  • Owner - Your name will appear in the Owner field. Select the name of the user who owns this license.
  • Search Access - If this license can be shared with other users (as allowed by your Job Board's terms of use agreement), and you want to grant shared access, select the names of the users from the drop-down.

Click Save.

Once the license is saved, the Test button gets displayed. It is essential to run the authentication test on the new license to verify that no typos or errors have occurred. Click Test and wait for the license status to update.

If the test is successful, the Status of the license will be Valid. Otherwise, the specific error will be shown.

The license is saved and activated automatically. Once your license is set up or you have shared access to a job board license, you will see the job board in Source on the Search Targets panel. You can then run a search on that job board.

If you need to add another license for the same job board for a different license owner, click the menu icon and select Add License.

The New License pop-up will open, where you can fill in the details of another license.

Remove Job Board Access for a User

On the Job Board Licenses page, click the license you want to update to view the details.

If the user is not a license owner, click X next to the user's name in the Search Access field.

Click SAVE. The removed user will no longer have access to the job board through that license.

To remove a license owner and reassign the license to a different user, select the desired user from the Owner drop-down list.

Click SAVE. You can then remove the previous owner from the Search Access field.

Remove a Job Board License

On the Job Board Licenses page, locate the license you want to remove and click REMOVE LICENSE.

On the confirmation pop-up, click YES.

Anyone who is not associated with any active license with valid credentials will not see the job board in Source on the Search Targets panel. When a license is assigned to a single user, and that user is either deleted or deactivated, the license is deleted from the Job Board Licenses page.

Deactivate a License

If your license was temporarily suspended on a job board and will be restored later, you can turn it off in RM without removing it.

On the Job Board Licenses page, locate the license you want to deactivate and click the toggle in front of the license details.

Remove a Job Board

If you need to remove a Job Board, please submit a Help Center ticket.

Job Board Licenses - User Settings

Navigate to your user menu, then click Account Settings.

Click Job Board Licenses.

The Job Board Licenses page will be displayed.

You can perform the same actions listed in Job Board Licenses – Administration.

If another user created a license where you were given shared access, you will see that license on your User Settings Job Board Licenses page, but you will not be able to make any changes to the license.
