In Recruitment Marketing (RM), the Standard Fields page allows you to map candidate fields coming from your ATS to selected standard fields in the CRM. 

Audience

Available Fields

Navigate to your user menu, then select Applications.

On the Standard Fields page, the following fields are available to you:

  • Audience Type
    • List Type field.
    • Available with the View Audience Type feature.
    • No default values are provided. Only a Company Administrator can configure the values.
  • Do Not Contact
    • Boolean Type field.
    • By default, any candidate with this value "true" is excluded from candidate lists or candidate searches.
    • To see these candidates, use the Do Not Hire/Do Not Contact filter.
    • Show on Profile is OFF by default. Turning it ON will make this field visible on the candidate profile.
  • Do Not Hire
    • Boolean Type field.
    • By default, any candidate with this value "true" is excluded from candidate lists or candidate searches.
    • To see these candidates, use the Do Not Hire/Do Not Contact filter.
    • Show on Profile is OFF by default. Turning it ON will make this field visible on the candidate profile.
  • Employee ID
    • String Type field.
    • This represents an employee ID that is mapped from an employee profile sync (mapped from ATS, HRIS, or CSV import).
  • Employee Job Title
    • String Type field.
    • This represents an employee's current job title, which is mapped from an employee profile sync (derived from ATS, HRIS, or CSV import).
  • Lifecycle
    • List Type field.
    • The default values are Current Employee, Past Employee, Current Contingent, Past Contingent, Applicant, Prospect.
    • The list values are configurable. You can add new or remove any of the defaults.
    • Available with the View Employment Life Cycle State feature.
  • Org1 - Company
    • List Type field.
    • This represents the top-level organizational structure of an employee, mapped from an employee profile sync (derived from ATS, HRIS, or CSV import).
    • No default values are provided. Only a Company Administrator can configure the values.
  • Org2 - Business Unit
    • List Type field.
    • This represents the second-level organizational structure of an employee, mapped from an employee profile sync (derived from ATS, HRIS, or CSV import).
    • No default values are provided. Only a Company Administrator can configure the values.
  • Org3 - Department
    • List Type field.
    • This represents the department of an employee that is mapped from an employee profile sync (mapped from ATS, HRIS, or CSV import).
    • No default values are provided. Only a Company Administrator can configure the values.
  • Primary Brand
    • List Type field.
    • Available with the View Primary Brand on Candidates feature.
    • The list of values is automatically calculated based on the brand list that is maintained in Applications > Apply > Brands.
  • Primary Locale
    • List Type field.
    • Available with the View Primary Locale on Candidates feature.
    • The list of values is automatically calculated based on the locales used by all brands configured in  Applications > Apply Brands.

Configuring Field List Values

On the Standard Fields page, click List Values.

On the List Values page, fill out the following fields: 

  • Name - Enter the display name that will be used on the associated filter, on candidates, and in the action menus.
  • Code - Enter the field code exactly as it appears in the candidate XML from the ATS.
    • NOTE: The code is case-sensitive and cannot contain commas or spaces. The recommended formats are "word1word2" or "word1_word2".

Click ADD

Additionally, you can rename a list value. 

On the List Values page, locate the list value you want to rename and click Rename. NOTE: You cannot change the value's code; you can only change the display name.

Selecting Archive will archive the value entirely.  Once archived, the value will no longer appear on the filter, in the candidate profile, or in the action menus.

Making a Field Visible on the Candidate Profile

Standard fields that do not have a place on the candidate's profile or summary, such as Audience Type or Lifecycle State, can be added to the profile under the Other Fields tab.  By default, these fields are not displayed on a candidate's profile, but you can make them visible by completing the steps below. NOTE: Employee fields, such as Employee ID or Org fields, are usually not recommended to be made editable.

On the Standard Fields page, click Edit next to the field you want to make visible on the candidate's profile.

Once the field is visible on the candidate's profile, you can also allow users with the Edit Candidate Other Fields privilege to edit the field's value.  To do so, enable the Allow Edit on Profile toggle.

Click UPDATE

Internal Mobility

If you are using Internal Mobility, you will see an additional setting on Employee Standard Fields, 'Use for Internal Mobility', disabled by default. When this toggle is enabled for a field, this field will be used in Internal Mobility reports.  Also, these fields will be hidden for users without Internal Mobility privileges in both the Other Fields tab on the candidate's profile and on any candidate CSV exports.
