Email Templates
Jobvite ATS offers a variety of system (email) templates designed to help you communicate with all the parties who participate in the hiring process, including employees, agents, hiring managers, candidates, and more.
These templates can be found by navigating to your user menu, then selecting Admin.
Click Communications.
Select an email template category.
The email templates page shows the following:
- Templates - This shows the template name and where you can edit the template. NOTE: If you have additional language packs, there will be separate versions for each language, which can be edited individually. The version (language) sent when the message is triggered will depend upon the Language of Automatic Emails selection in the associated requisition.
- Sent By - This indicates who sent the email.
- To - This shows who receives the email. NOTE: When Hiring Manager or Recruiter is displayed in this column, only the primary hiring manager and recruiter listed on the requisition will receive the email.
Click the arrow on the desired template to expand the details. NOTE: You can also click the email template name.
When you see Add New Template, you can create alternate versions of the message because the message is selected and sent by an end user who can decide which template/version to use.
When Add New Template is unavailable, it indicates that an event triggers this message, and there is no human selection process involved; therefore, the only option you have is to edit the single (default) template.
NOTE: If you have additional language packs, there will be separate versions for each language, which can be edited individually. The version (language) sent when the message is triggered will depend upon the Language of Automatic Emails selection in the associated requisition.
Add / Edit Template
Click Add New Template or Edit under the desired email template.
Drag and drop the desired field from the Add Template Fields list into the Template Editor – Subject or Message.
NOTE: Certain links in the default message versions (such as a unique link for an evaluation form) should not be removed from the original message or a copy.
Click Save.
