Intelligent Messaging is our next-generation texting widget at the bottom right corner of all Evolve ATS screens. It serves as your gateway to begin or continue any text-based candidate conversations.

Best Practices

You should update your Apply workflow to include Cell Phone as a mandatory field in the application process. This will help ensure that all candidate records contain a valid Cell Phone field.

Utilizing the Widget

In Evolve ATS, Intelligent Messaging focuses on 1-to-1 texting with candidates directly in the Evolve application. The widget offers multiple ways to initiate a 1-to-1 candidate conversation, but before discussing usability, let's review the widget integration with the Jobvite ATS.

Evolve ATS Integration

The Intelligent Messaging widget is integrated with your Evolve ATS database, meaning any candidate that resides in the ATS database will automatically load into the widget when you initiate a conversation.

The integration involves extracting data about each candidate from the ATS, such as job title, and pushing that information into the widget. However, you cannot establish a conversation in the widget first and push that information into the ATS. The integration only allows for data to be extracted from Evolve ATS and pushed into the widget.

Chat with Candidates

You can chat with candidates via the Intelligent Messaging widget in multiple ways. Anytime you see a chat bubble icon in the ATS, you can click it to open a new or existing conversation with the selected candidate.

Click the chat bubble icon at the bottom right of the screen to open the texting widget and view a list of current conversations with candidates.

On the Candidate tab, if you have the Cell Phone column showing, you'll see chat bubbles next to candidates with a valid cell phone number on their candidate profile.

NOTE: If you do not see the Cell Phone column on your Candidate tab, your admin can add it to your view. See the Add Cell Phone Column to Candidate Tab sub-section below for additional details.

On your Dashboard page, you'll see chat bubbles in the upcoming interviews section next to any candidates with a valid cell phone number on their Candidate profile.

On any Candidate Details page (provided the candidate has a valid cell phone number on their profile), you'll see a new chat bubble button in the green quick action sidebar.

  • The chat bubble will be grayed out if a candidate does NOT have a valid cell phone number.
  • If the candidate has another phone field populated, you can edit the record to populate the cell phone.
    • NOTE: To make Cell Phone a required field, navigate to the sub-section, Make Cell Phone a Required Field, for step-by-step instructions.

Add Cell Phone Column to Candidate Tab

Admins can add the Cell Phone column to the candidate view by following the steps below.

NOTE: This is a global setting and will impact all users who have access to the Candidate tab.

Scroll until you see Configure Filters in the bottom left corner of the filter options.

Once you click the Configure Filters tab to Search Result Columns, you can include six columns. NOTE: You might need to delete one column to make room to add the Cell Phone field. To delete, click the X icon.

From there, you will be prompted to add a new column. Search and select Cell Phone.

This will update, save, and be applied globally for all users with access to the Candidates tab.

Make Cell Phone a Required Field

Cell Phone is the unique identifier used for Intelligent Messaging. This means that to utilize the widget and chat with a candidate; they must have a cell phone field populated. Follow the steps below to make Cell Phone a required field on your application.

Navigate to the Admin page, click Career Site, and select View Apply Forms.

From View Apply Forms, update the necessary forms to include Cell Phone by dragging and dropping the field from the Available Fields section.

Check the box Required.

Click Done and Save.

Schedule Messages

Messages can be scheduled to be sent at a later date/time from the Intelligent Messaging widget. When you're in a candidate conversation, select the clock icon within the widget. You'll be taken to a screen that allows you to draft the message and set the date and time for when you would like it sent.

Scheduled messages can be edited or deleted before the scheduled send time by clicking the clock icon again and navigating to See Scheduled Messages.
