Overview
Evolve ATS integrates with Sterling (TalentWise). With this integration, mutual customers can easily initiate and review results for all background checks conducted using Sterling within Evolve ATS.
Audience
Admins, Recruiters, and Hiring Managers
Prerequisites
The following information is required to implement the integration:
- Sterling Client ID and Auth Key. Please contact your Sterling Rep for this information.
- Identify where you will conduct the Sterling Background Check in the Evolve ATS workflow(s).
- Submit a Help Center Ticket to enable the Sterling backend setting.
Configuration
Once support has enabled the backend setting for Sterling (TalentWise), you can complete the integration setup in your Evolve ATS environment.
NOTE: Each user conducting or viewing background checks must follow the process below.
Navigate to your User Menu, then click My Account.
Select Authorized Apps, then click Connect next to Sterling.
In the Sterling account pop-up window, enter your Client ID and Auth Key.
Click Save.
Perform a Background Check
Navigate to the Candidates tab, then click the name of the candidate for whom you want to run a background check.
Click the Workflow tab.
Select the Background Check workflow step and click Start Background Check.
NOTE: Only users with Sterling Credentials will have the Start option.
This will launch the Sterling Dashboard in a new tab.
From the Sterling Dashboard, the user will select the background check from the list of pre-defined packages. Candidate information from Evolve ATS will be pre-filled on the background check form. If any information is missing, the user will be prompted to complete it before continuing.
Refer to the Field Mapping section for a list of data transmitted to Sterling.
Once the background check has been initiated, all users will see the status of the check on the candidate details page, which will show the order status, date submitted, last update, and result (Clear or Alert).
View Background Check Results
Go to the Candidates tab and click the name of the candidate who has completed the background check.
Click the Workflow tab.
Scroll down to the Background Check workflow step and click to expand. In the expanded section, all users with access to the candidate record will see the status of the check on the candidate details page. This will show the order status, date submitted, last update, and result (Clear or Alert). In addition to the information above, users with Sterling Credentials have a link to take them to the report. Clicking Access background check report will launch Sterling in a new browser tab, and the full background check report will be opened.
NOTE: This link will only be present if the Order status is Pending or Complete.
Sterling Field Mapping
Every time you initiate a background check, Evolve ATS sends the following information to Sterling to pre-populate the background check form:
- Candidate Contact Info – Evolve ATS Candidate Details Records
- Name
- Address
- Work History – Parsed from Resume
- Company Name
- Job Title
- Start and End Dates
- Education - Parsed from Resume
- School Name
- Major
- Degree
- Start and End Dates
