Introduction
The Referrals Features area in Evolve Recruitment Marketing (RM) is used to configure the settings used by the Referrals feature. When this page is launched, it will be read-only. Company Administrators will be able to edit the page and make changes.

Navigate to your user menu, then click Applications.
Select Referrals, then click Features.
The following are the feature settings related to Referrals:
- Referral Exclusivity
- Number of days of Referral Exclusivity - The number of days in which an employee will be eligible to receive a bonus if the referral is hired. During this period, no other employee can refer this candidate and be eligible.
- This means that when a referral is submitted, it will be marked as ineligible for a referral incentive if the same candidate has already been referred either by email address (when the Candidate Exclusivity model is enabled) or for the same job (when the Job Exclusivity model is enabled) within the configured Referral Exclusivity Period (X days).
- The default number of days is 90.
- Typically, company referral programs are 180-365 days.
- Referral Exclusivity Model
- This setting determines how Evolve RM will calculate the eligibility of referrals made for exclusivity.
- Candidate Specific
- This is the default.
- This means that during the exclusivity period:
- The employee who referred the candidate and has exclusivity will be eligible to receive a referral bonus for any job for which the candidate is hired (not just the job to which they were referred).
- Any referrals made by another employee to ANY job will not be eligible to receive the referral incentive.
- Job Specific
- This means that during the exclusivity period:
- The employee who referred the candidate and has exclusivity will be eligible to receive a referral bonus for the specific job for which the candidate is hired and was referred by the employee.
- Any referrals made by one employee to another job will be eligible to receive the referral incentive; however, referrals to the same job will be ineligible.
- Lookup Exclusive Employee Referral in Apply to Send to ATS
- ON - When a candidate applies using an apply workflow, the referring employee information sent to the ATS will be looked up in the Referral module.
- This will send the referring employee information if the candidate does not follow the referral link.
- This sends different eligible employee information if the candidate followed a distinct, ineligible referral link.
- This is based solely on the applying candidate’s email address.
- This only works when the candidate completes an application for a job using an apply workflow, and their information is sent to the ATS.
- OFF – This is the default setting. The referring employee’s information sent to the ATS from the apply workflow depends entirely on the candidate’s referral link and the information provided when they apply for the job.
- ON - When a candidate applies using an apply workflow, the referring employee information sent to the ATS will be looked up in the Referral module.
- Assert Exclusive Referral record when candidate applies without following Referral link
- ON - When a candidate applies to a job using an apply workflow and does not follow a referral URL link, a referral record is asserted if there is an eligible employee referral, and the company is using the Candidate Eligibility model. This covers the following cases:
- An eligible general referral candidate applies to a job and does not follow a referral link.
- An eligible job referral candidate applied to a different Job than the one for which they were referred and did not follow the referral link.
- This only works when the candidate completes an application for a job using an apply workflow.
- OFF - This is the default setting. No referral record is asserted when a candidate applies to a job and does not follow a referral link.
- ON - When a candidate applies to a job using an apply workflow and does not follow a referral URL link, a referral record is asserted if there is an eligible employee referral, and the company is using the Candidate Eligibility model. This covers the following cases:
- Number of days of Referral Exclusivity - The number of days in which an employee will be eligible to receive a bonus if the referral is hired. During this period, no other employee can refer this candidate and be eligible.
- Hiring Team Eligibility
- Hiring Team Is Not Eligible for Referral Bonus
- The hiring team is calculated as a user who is associated with the job. This assignment can be completed manually, but in most cases, it is generated by the ATS and assigned when the job is created or updated via the API.
- ON - Any user who is a member of the hiring team (as set in the My Jobs setting) will be ineligible to receive incentive compensation.
- OFF – This is the default setting. This rule will not be applied, and any user, regardless of whether they are on the hiring team, is considered eligible.
- Hiring Team Is Not Eligible for Referral Bonus
- Candidate Consent
- Require opt-in from candidate to share updates
- If enabled, the candidate must answer the consent question ID when they apply. If consent is not given, the employee will not receive any updates on their referral progression. Must use the apply workflow for the candidate application.
- NOTE: A fixed question ID must be set up, and it must be case-sensitive, with the value “Referral-Consent-Share” on each external apply workflow.
- ON - The candidate must opt in to receive updates on their application progress from the referring employee. If the feature is enabled and the candidate does not provide consent, no employee notifications are sent, and the employee will see "Consent not Given" in the Employee Portal.
- OFF – This is the default setting. Consent to share updates with employees is not collected or needed.

- Calculation of Hire Eligibility Date
- Base Hire Date Field
- Choose the base date to calculate incentive eligibility and payout.
- The default is the Hire Disposition Date (the date by which the hire is marked, indicated, or status changed) in the ATS.
- Hire Start Date is the date by which the hired candidate is scheduled to begin work.
- If your ATS or HRIS sends a 'Hire Start Date,' that value should be selected.
- Probation Period Payout Days
- Choose the Number of Days after the Base Hire Date when the eligible incentive payout would be made.
- This is typically used when there is a rule that an eligible incentive payout is made after the new employee passes a probation period.
- The default is 0 days (i.e., probation is not used to determine the scheduled eligible incentive payout date.
- NOTE: Both settings will populate fields in analytics, which will also show a “Calculated Incentive Payout Date” field.
