External and Internal Screening Forms

Overview

Many customers want different screening form questions for internal candidates than for external candidates. This feature allows customers to configure new questions for internal candidates at the requisition level.

When a requisition is created, the creators can select the type of questions they want as part of their internal candidate applications and what questions they want for their external candidates’ applications. The requisition creators can use the same questions for their internal and external applications.

Prerequisites

Please note the following prerequisites for enabling this feature for customers:

  • This capability is currently available only for customers who use the combination of Evolve ATS and Evolve RM CWS.
  • Customers must have a separate Internal Career site and an External Career site.
  • Customers need to use RM Apply Workflow. This feature is not feasible for customers who use ATS Apply Workflow in RM CWS.

The following prerequisites are recommended to be completed by an admin before configuring the Internal and External Screening Forms:

  • Evolve ATS: Add Internal Pre-Interview Form and External Pre-Interview Form fields
  • Evolve RM: Add Internal and External tags

Add Interview Form Fields (Evolve ATS)

If your company has the requisition template feature enabled, you can follow the steps below to add the Internal Pre-Interview Form field.

Navigate to your User Menu > ADMINATSView Requisition LibraryView Requisition Templates.

Click a template to open it.

Add a new field called Internal Pre-Interview Form. Change the Pre-Interview Form field name to External Pre-Interview Form.

NOTE: This renaming is only for clarity while creating requisitions and is not a requirement for this feature to work.

Click Save.

NOTE: If your company does not have the requisition template feature enabled, you can follow the steps below to add the Internal Pre-Interview Form field.

Navigate to your User Menu > ADMIN > Configurations > Custom Fields > click the Requisition tab. Drag and drop Internal Pre-Interview Form under the Details section of the requisition form. 

Add Internal and External Tags (Evolve RM)

In Evolve Recruitment Marketing, navigate to the User Menu > Applications > Apply.

Click the INTERNAL APPLY Workflow.

Scroll to the bottom of the screen and click Edit Workflow.

Add internal as a tag to the Dynamic Questions Category Tags.

Click Save.

Click the EXTERNAL APPLY Workflow.

Scroll to the bottom of the screen and click Edit Workflow.

Add external as a tag to the Dynamic Questions Category Tags.

Click Save.

Once the above steps are completed, the system will be ready to set up different Internal and External Screening Form questions for all future requisitions. The requisition creator can follow the steps in the next section to assign different (or the same) screening questions for their requisitions.

Add External and Internal Forms

Follow the steps below to add the External and Internal Pre-Interview Forms to a requisition.

Scroll to the Links section and click Add Requisition.

TIP: You can also navigate to the Requisition tab and click Add Requisition.

Select the desired Requisition Template and click Next.

Click the External Pre-Interview Form drop-down and select an external candidate question.

Click the Internal Pre-Interview Form drop-down and select an internal candidate question.

Finish setting up your requisition (see the Add Requistions Quick Start Guide in the Community for additional requisition setup information).

Form Review

Once your requisition has been created with the External and Internal questions, navigate to and open it. Under the Details tab, you will see that those questions have been added to the form.
