Using LinkedIn Recruiter System Connect (RSC)

Overview

Integrating LinkedIn Recruiter System Connect (RSC) with Evolve ATS is a powerful tool for helping recruiters use the information in both systems to identify key talent more efficiently for your company’s hiring needs.

In addition to LinkedIn RSC's long-standing features, such as 1-Click Export, Evolve ATS designed two additional features to help you identify and source suitable candidates for your open requisitions.

  • LinkedIn Recommended Matches within Evolve ATS allows you access to the best candidates for a posted job or requisition, even if they have not actively applied. You can reach out to the matches you think are a good fit and save them to existing requisitions or send them an application link directly through LinkedIn InMail without leaving Evolve ATS.
  • LinkedIn Unified Search within Evolve ATS candidate search pages allows you to search and view candidates within the ATS database and from LinkedIn members in a single widget. You can search for the candidates by using multiple keywords. You can identify the good fit profiles and save them to existing requisitions or send application links directly through LinkedIn InMail.

Prerequisites for Using LinkedIn RSC

The following are prerequisites for using LinkedIn RSC:

  • Recruiter System Connect needs to be configured for your company. Please see Configure LinkedIn Recruiter System Connect (RSC) for configuration steps.
  • Only LinkedIn members with Recruiter access can view the functional widgets, and you must connect your Evolve ATS User Account with your LinkedIn Recruiter account, as demonstrated below.
  • Either the Jobvite CRM (Engage) package or the Engage user role. NOTE: This package does not require the use of LinkedIn RSC, but some LinkedIn RSC features require Jobvite CRM (Engage). See Create Contacts from LinkedIn Recruiter for more information.

Connect User Account to LinkedIn Recruiter

NOTE: This configuration is required for all RSC integrations except LinkedIn Enhanced Profile.

To streamline the sourcing and management of candidates from both systems, once an Evolve ATS admin has enabled LinkedIn RSC in your environment, you’ll need to connect your individual Evolve ATS user account to your LinkedIn Recruiter account.

Navigate to your user menu, then select My Account.

Select the Authorized Apps tab.

Click Connect next to LinkedIn under the Integrations section.

Complete the sign-in information requested in the LinkedIn pop-up.

View Enhanced LinkedIn Member Profiles

The LinkedIn Enhanced Profile integration allows users to view LinkedIn members’ profiles displayed for contact and candidate records within Evolve ATS.

Once a contact or a candidate is created in the ATS (manually or via an API), Evolve attempts to match the person with a LinkedIn member using first name, last name, and email address. If an email address is not provided and more than one LinkedIn member is found with the same first and last name, the profile widget displays all matched members and allows you to choose the correct person. The sync may take up to 15 minutes.

NOTE: This integration was previously known as LinkedIn Cross System Awareness (CSA). However, unlike CSA, it allows all Evolve ATS users (without a LinkedIn Recruiter License) to view the summary of LinkedIn members’ profiles in Evolve so long as they have access to the contact or candidate profiles in Evolve ATS.

The table below outlines the information from a LinkedIn member’s profile that is displayed to Evolve ATS users within the enhanced profile widget based on their LinkedIn license type:

If you have a LinkedIn Recruiter license, click View Profile in Recruiter within the Evolve ATS candidate or contact record. Log in to LinkedIn Recruiter to view the member’s full profile.

View Candidate

Navigate to the Candidates tab, then click the candidate's name.

Scroll to the bottom of the candidate summary page and Sign in to LinkedIn Recruiter if prompted.

Once logged in, you can view the LinkedIn profile preview or click View profile in Recruiter to view the full profile in LinkedIn Recruiter.

View Contact

Navigate to the Pipeline tab, then select the contact’s name.

Scroll to the bottom of the contact details page and Sign in to LinkedIn Recruiter if prompted.

Once logged in, you can view the LinkedIn profile preview or click View profile in Recruiter to view the full profile in LinkedIn Recruiter.

Create Contacts from LinkedIn Recruiter

As you identify new talent on LinkedIn, you can export LinkedIn members’ profiles to create new contact accounts in Evolve ATS using the 1-Click Export integration with LinkedIn.

An Evolve ATS contact is created with the following information from LinkedIn:

Assigned to Name of the person who exported the LinkedIn profile The person who exports the profile must have an Evolve account. If the person does not have an account in Evolve, then the contact record is not created.
LinkedIn RSC Requisition Selected Requisition name and Jobvite Job ID for the requisition selected within LinkedIn This is an Engage custom field that is auto-created by Evolve ATS when 1-Click Export integration is enabled by Evolve admin. The field is only displayed for users with the Engage User role.

The created record does NOT include a member’s phone number or email address, as LinkedIn does not allow the exporting of contact information without the member’s consent. You can add the contact information manually or use the Consented InMails integration with LinkedIn to obtain the contact information.

Once a contact is created in Evolve ATS, the requisition title and number are listed in the LinkedIn RSC Requisition Selected custom field. NOTE: Currently, only users with the Engage user role can view the LinkedIn RSC Requisition Selected Jobvite CRM (Engage) custom field.

The contact record is NOT associated with the selected requisition, and no candidate record has been created as there is no contact information. You can manually create a candidate from the contact profile by clicking Add to Requisition.

To export a candidate from LinkedIn using the 1-Click Export integration, you must first use your LinkedIn Recruiter account to search for a requisition by job title or job ID.

NOTE: For a requisition to appear in search results in LinkedIn Recruiter, it must be in the Open state, have the Posting type set to Everyone (External), and have the Make available in LinkedIn 1-Click Export checkbox selected.

Click the menu icon, then select Export to ATS.

Complete the fields in the Export to your ATS window.

Click Export.

A contact record will then be created in Evolve ATS.

If Export to ATS is absent, the member’s Profile visibility outside LinkedIn is turned off in the member’s LinkedIn profile Visibility Settings.

Create Contacts from Consented InMails

Build a talent pipeline in Evolve ATS from your LinkedIn connections using the Consented InMails integration with LinkedIn.

When you send an InMail to a member, the member is prompted to share their contact information. They can choose what information they want to share (email address, phone number, or both).

A contact record is created in Evolve ATS if the member shares their contact information.

NOTE: A candidate record can be created only if the General Application is enabled in your Evolve ATS instance.

If a contact exists in Evolve ATS, the existing record is updated with the shared contact information, and no new record is created.

A contact or candidate record is created with the following data from the LinkedIn member’s profile:

To create a contact and candidate record in Evolve ATS using the Consented InMails integration with LinkedIn, you must first use your LinkedIn Recruiter Account to send a message to the member by accessing their member profile and then clicking the mail icon.

When the member receives the message and chooses to share their contact information, the candidate and contact profiles are automatically created for them in Evolve ATS.

NOTE: It may take up to 15 minutes for the sync to be complete and for the data to appear in Evolve ATS.

Sync LinkedIn InMails

The LinkedIn InMails integration lets users see LinkedIn Recruiter InMails within Evolve ATS. When an InMail is sent to a LinkedIn member, it may take up to 15 minutes for the message to appear in the Feed section of an Evolve ATS candidate’s profile.

Evolve ATS only syncs InMails created after enabling the LinkedIn RSC integration. No historical data is synced.

In-ATS Indicator

The In-ATS integration allows you to gain helpful context about candidates inside LinkedIn Recruiter. The integration syncs candidates’ application workflow steps (including custom candidate workflow steps) and notes from the ATS to LinkedIn Recruiter.

NOTE: Evolve ATS does not send interview feedback to LinkedIn.

In LinkedIn Recruiter, Evolve ATS workflow steps appear in the Jobs & feedback subsection.

Depending on how your administrator configured the In-ATS integration, application statuses (workflow steps) may only be sent to LinkedIn Recruiter if a candidate consented when applying via your career website.

Evolve ATS only syncs data created after enabling LinkedIn RSC integration. No historical data is synced.

Identifying Recommended Matches for Requisitions

This section describes how you can identify Recommended Matches for your requisitions.

Within Evolve ATS, navigate to the Requisitions tab and select a requisition (must be open and external) to view the Recommended Matches.

Click the LinkedIn Recommendations tab.

You can launch the LinkedIn widget to view the recommendations for the specific job. Initially, the widget will allow you to Sign In to your LinkedIn RSC account to view the recommendations. NOTE: You need to sign in with a Recruiter login for which the RSC sync contract is set up to allow LinkedIn Recommended Matches and Unified Search to work.

Upon successful sign-in, the recommended profiles will be shown based on the requisition. The recommendations provided by LinkedIn are based on various parameters provided by the recruiter in the requisition record, such as title, location (country code or postal code), description, company, employment status, categories, and skill description. The more information your requisition has regarding the above parameters, the better recommendations you’ll receive. The minimum parameters required for the recommendations to be shown are title and location.

NOTE: A newly created requisition takes 15 minutes to sync up for the recommendations to be shown. If you try to access the recommendations before the 15-minute sync period is finished, you will receive a message stating that your recommended matches are coming soon.

You will have the following options for every profile shown within the recommendations:

  • Save to Job
  • Save and InMail

Save to Job

Click Save to Job to export the profile details to the ATS. This option works similarly to the 1-Click Export functionality of Recruiter System Connect. By clicking Save to Job, you can save the profile shown to the list of contacts within Evolve ATS.

Similar to the 1-Click Export integration of RSC, the contact will be created with all basic LinkedIn Profile information, including first name, last name, address, current company, current title, and LinkedIn profile. The source of contact information is captured as Jobboard LinkedIn_1Click Export. However, per LinkedIn's privacy settings, a member’s contact phone number and email address will NOT be exported to the contact record; instead, these fields will be left blank.

You can contact members through InMail to collect their consent to apply and share contact details.

Save and InMail

You can click the Save and InMail options to export the profile to the ATS and open the InMail widget to send InMail to the LinkedIn profile shown as a recommendation. This action performs a similar activity as Save to Job in the background while opening the InMail pane.

The InMail widget provides functionalities similar to those of InMail sent directly from LinkedIn. You can view the InMail credit requirement, InMail credits available, choose a predefined template, and other features. If you don’t want to send an InMail, click the X in the upper right-hand corner to close it.

NOTE: When a LinkedIn member chooses not to share their info in their privacy settings, the Save to Job option will be greyed out, similar to the 1-Click Export feature. You will not be able to export your profile to contacts. However, you can still use InMail to request LinkedIn members' consent to capture their information and invite them to apply for a specific job requisition. The contact information will be exported into the ATS if the member consents.

Full Profile View

You can perform the InMail and Save to Project actions from the full profile view within LinkedIn RSC.

InMail

You can click the InMail (mail) icon to export the profile to the ATS and open the InMail widget to send InMail to the LinkedIn profile. This action performs a similar activity as Save to project in the background while opening the InMail pane.

The InMail widget provides all similar functionalities of InMail directly from LinkedIn. You can view the InMail credit requirement, the amount of InMail credits available, choose a predefined template, and various other functions. If you wish to not send InMail after reaching this pane, click the X (close) option.

Save to Project

Click Save to prandect to export the profile details to the ATS. This option works similarly to the 1-Click Export functionality of the Recruiter System Connect and the Recommended Matches Widget. By clicking Save to project, you can save the profile shown to the Contacts list within Evolve ATS.

After clicking Save to project, a pop-up will display, allowing you to select which job to map to the profile shown.

You can select the correct job and click Export to save the profile to the job.

Mirroring the functionality of the 1-Click Export and Recommended Matches integration of RSC, the contact will be created with all the basic LinkedIn Profile information, including first name, last name, address, current company, current title, LinkedIn profile, and LinkedIn profile view. The source of contact information is also captured as Jobboard LinkedIn_1click Export. However, per the privacy settings of LinkedIn, the member’s phone number and email address will not be exported to the contact record; instead, they will be shown as blank.

You can contact members through InMail to collect their consent to apply and share contact details, resulting in LinkedIn members receiving a Contact Details form via InMail.

Open to Work Filter

You can use the Open to Work filter in LinkedIn Recruiter to view the profiles that have provided the spotlight Open to Work in their profiles. This increases the chances of getting higher responses from the requests sent to profiles to apply for a job requisition.

Only Candidates in My ATS Filter

You can use this filter to view the profiles in your ATS based on the filters mentioned in the Unified Search Widget. You can then reach out to those candidates through InMail to identify their interest in applying for a job. When you select Save to project for a profile that already exists in your ATS, the latest information from LinkedIn will be updated in your ATS version of the profile.
