ATS & Onboarding
Candidate Email / SMS Messages
Recruiters face challenges in effectively engaging candidates via email, including low response rates, lack of personalization, and potential brand misalignment. These issues negatively impact the recruitment process and diminish the candidate experience.
What Changed
Recruiters will have the ability to send the following message types to candidates via SMS (text) or email:
- Messages to Candidates
- Messages to Candidate – General Application
- Request Candidate Availability
- Invite Candidate to Self-Schedule
Roles
Administrators and Recruiters
Value
- Improved Candidate Experience: Text messages are more convenient for the candidate and add a more personal touch.
- Improved Efficiency: Sending text messages to candidates improves communication efficiency, increases response rates, fosters personalized interactions, and creates a more seamless candidate experience.
Configuration
Requires Configuration: Admins are encouraged to review the Communication Templates to ensure the language aligns with their branding.
Automated Candidate Status after Specified Days
There have been delays in the hiring process, which, in turn, increases time-to-fill. Unresponsive candidates can consume a lot of time as recruiters attempt multiple follow-ups. Managing large amounts of candidate data can be overwhelming, making it difficult to keep track of progress and communication history. This can result in challenges to prioritizing candidates effectively when some are unresponsive.
What Changed
Admins can configure multiple automation flows that will automate recruiter activities associated with the Number of Days a candidate is in a specified Workflow State. The automation flow can be configured with the following actions:
- Set candidate Disposition
- Move candidate Workflow State
- Send candidate Message
Value
- Improved Performance: Reduces/eliminates the need for recruiters to manually execute specific tasks associated with unresponsive candidates.
- Increased Efficiency: Frees recruiter's bandwidth to screen/interview other candidates and improves Time-to-Fill metrics.
Configuration
Requires Configuration: See the Automation Engine Configuration article.
Onboard - New Hire API
Currently, the Onboarding system does not provide a provision to update New Hire information without manual intervention. Also, if the user wants to add new hires directly, they need to do it manually one by one.
What Changed
The New Hire API enables customers to create and update new hire details in Onboard directly through API. A new set of new hire APIs has been added to the CS Admin page.
- Create New Hire
- Update New Hire
- Get New Hire
Value
- Improved Performance: Reduces/eliminates the need for the Onboard Orchestrator to manually add/update the new hire details.
- Improved Usability: Enhanced capability to integrate with a third-party system.
- Expanded Capabilities: Two-way data exchange.
Configuration
Requires Configuration: Customers should contact their CSMs to enable this API from the CS Admin page.

DocuSign OAUTH 2 Rollout
DocuSign has decided to shut down the authentication mechanism used by the Jobvite integration and replace it with OAuth 2.0, effective September 27, 2024.
DocuSign no longer supports Sign-On-Behalf-Of (SoBo), a functionality that allows JV to use the integration via impersonation through a DocuSign admin credential.
What Changed
As a result, Jobvite ATS has changed its DocuSign integration to only support individual user accounts going forward.
- Customers using SoBo will no longer be able to utilize the functionality and will have to ask each integrations user to connect their DocuSign account to Jobvite individually.
- Customers who have previously connected their individual accounts to DocuSign must reauthenticate using the new mechanism. This is applicable only for users who use DocuSign integration to generate offer letters with e-signature capabilities. Company users who are signers only do not need any action.
Roles
Recruiters
Value
- Improved Security: Better audits are performed as individual users authenticate individually.

Automation Engine Run and Version Logs
Admins do not have the ability to view Run/Version logs for their automation processes, which impedes their ability to monitor performance and/or troubleshoot issues.
What Changed
Admins will have the ability to view the Run and Version logs for all configured Automation Engines.
Version Log
Run Log
Roles
Administrator
Value
- Improved Performance: Providing admins with the ability to view Run/Version logs allows them to verify the automations are operating to their company standards
- Improved Efficiency: Allows admins to optimize automation efficiency by identifying bottlenecks and maintaining team accountability.

Configure Columns in Requisitions List (EARLY ACCESS)
Recruiters face challenges when the requisitions list view does not provide enough insights into the quick summary they seek. The inability to configure the requestion list view and expand it to include more information can result in users needing to click multiple requisitions and view the information they seek.
What Changed
Administrators can:
- Configure the fields shown in the Requisitions List view.
- Expand the Requisitions List view to include up to eight columns.
Roles
Administrators
Value
- Improved Readability: Making the requisition columns configurable and expandable up to eight columns makes it easier to view the most relevant and essential information in several requisitions together.
- Improved Efficiency: This enhancement allows the recruitment team to review the most important information in several requisitions together and enables faster decision-making.
Configuration
Requires Configuration: To configure, admin users can navigate to their user menu > Admin > ATS > View Requisition List Settings > update columns as needed.

Configuration of Columns in Requisition List
Candidate List Page – “Sticky” Columns (EARLY ACCESS)
Recruiters experience difficulty and inefficiency when reviewing lists of candidate records due to the lack of “sticky” column headers, which forces them to scroll back to the top to reference important information repeatedly.
What Changed
To improve user experience, the Candidate List and Requisition Candidate List pages now contain “sticky” headers and a frozen first column.
Candidate List Page
Requisition Candidate List Page
Roles
Recruiters
Value
- Improved Navigation and Usability: The “sticky” stays fixed as you scroll through large data sets. This allows users to keep important information, such as candidate name, always visible – reducing the need to scroll back and forth.
- Improved Readability: “Sticky” headers keep the column titles visible as users scroll through a list of applicants, ensuring they always know what each column represents without having to scroll back to the top.
- Increased Efficiency: Users can quickly scan and locate specific information without losing context, making reviewing applications faster and more efficient.

DocuSign Signature Ordering (EARLY ACCESS)
Recruiters cannot specify the desired order of signatures when sending offer letters to the candidate or company signer. Most companies want to send a candidate’s offer letter to the Company Signer first to ensure there are no mistakes and that it looks professional. This limitation can result in inefficient processing, potential delays, and poorly affected candidate experience.
What Changed
When generating an offer letter, recruiters will have the option beneath the Company Signer field called Signature Order. This option will allow the recruiter to select either Company signs first or Candidate signs first. This field is only available if the Offer Letter Template includes the Company Signer placeholders.
Roles
Administrators, Recruiters
Value
- Improved Candidate Experience: Reduces the possibility of the candidate’s offer letter containing mistakes.
- Improved Efficiency: This feature allows recruiters to select the desired signing sequence according to organizational needs, ensuring a streamlined and organized workflow.
Configuration
Automatically Enabled: Admins will format their Offer Letter Templates with the Candidate and Company Signer placeholder as needed. Navigate to your user menu > Admin > ATS > View Offer Settings > View Offer Letter Templates > Offer Letter eSignature Templates.
Bulk Update Requisition Status (EARLY ACCESS)
Updating a requisition’s status is one of the most basic and frequent activities performed by recruiters and hiring managers in ATS. It becomes a challenge for the recruitment teams when they must perform the same changes across several requisitions simultaneously. Since this is impossible today, users must open each requisition and perform the same modifications several times.
What Changed
This new feature allows the users to update the statuses of multiple requisitions in one go.
Users can select multiple requisitions > Users can specify the new status for the selected requisitions and update them.
As part of the first version of this capability, users will be able to bulk update the requisitions to the following statuses:
- Open
- On Hold
- Approve
Roles
Recruiters, Hiring Managers
Value
- Improved Efficiency: The ability to bulk update the requisitions status will help the recruiters be more productive, avoid repeating the same actions, and manage high-volume requisitions easily.

Create Job Board Link for Evolve (EARLY ACCESS)
The Create Job Board link is a highly used feature on the requisition’s details page. This feature allows employees to create a custom URL with a defined source. This URL can be used for various use cases, including sharing jobs to job boards, social media platforms, highlighting jobs in social campaigns, etc. When candidates see the link and then click it, apply and/or are hired, they are attributed to the source selected during the URL creation.
However, this capability is available only to customers who use Jobvite ATS and Jobvite CWS (career websites). Customers who use Recruitment Marketing career websites were unable to leverage this feature.
What Changed
With this new feature, customers who use Recruitment Marketing career website can now create a Job Board URL by clicking the Create Job Board link from the Jobvite requisition details page. The user can then share the job board/social channels link. Once the candidate clicks the link, they will land on the Recruitment Marketing career site (CWS). The candidate can apply for the job, and that application's source is rightly tracked to the source assigned during the URL creation.
Roles
Recruiters, Hiring Managers
Value
- Simplified Sharing of Jobs to job boards and social channels.
- Easy Source Tracking of jobs shared to any job board or social channel.
- Simple Reporting of Source of application from various job boards and social channels.

Candidate Job Notification Expiry
Maintaining correct source tracking between ATS and Recruitment Marketing is essential to ensure accurate attribution to candidate applications and new hires. Many customers have complex and broad source distribution and incoming sources for their candidates. Maintaining an extensive mapping list can be challenging as it changes over time, especially for complex environments with multiple ATS channels.
What Changed
- When a candidate sets up a Job Notification, it will expire after 180 days if the candidate does not click on the Call to Action (CTA) link.
- The expiry is reset when a candidate receives a job notification email and clicks on the CTA.
- When a candidate's job notification is nearing 180 days (within two cycles of expiry – i.e., two weeks if weekly or two days if daily).
- The candidate sees Expiring Soon for the Candidate Job Notification emails in the Subject Line.
- The candidate sees Expiring Soon in the candidate portal beside the Job Notification.
Roles
Recruiters
Value
- Send Only Relevant Emails: Ensures that scheduled job notifications are relevant to the candidates, resulting in fewer unsubscribes.
- Reduce Spam Reports: Prevents long-running candidate job notifications from being labeled spam (which impacts reputation and overall email deliverability).

Campaign Usability Improvements
Email Drip Campaign – Delay Enrollment
- Recruiters can delay the enrollment of candidates in an Ongoing Email Campaign.
- The Add/Remove Email Campaign popup now has a new checkbox, Delay enrollment in Ongoing Campaign.
- When selected, users have the fields to specify the Date and Time of the first email. Without this option, the first email is sent out when the candidate is added to the campaign.
NOTE: This option is unavailable for single-use campaigns because they send the first email at the campaign's scheduled time.
Scheduled Emails – Filter by Recipient, View Email Recipients
- Recruiters can filter scheduled emails by Recipient.
- Click the dropdown and type the candidate’s name or email.
- The list will be filtered by the emails scheduled to the selected candidates.
- See list of recipients’ email addresses in the Preview Email popup window
- The Recipients section shows one recipient’s email address with the clickable control to view all recipients. If multiple recipients exist, click on the number to expand to the entire section list.
New Campaign URL List Page
- Recruiters can now search by Campaign URLs, Destination Campaign, or Career Sites.
- Recruiters can apply filters by Campaign, Career Site, and Domain. The Campaign URL List view will be filtered.
- Recruiters can sort the Campaign URLs list page by Campaign URL, Campaign Created At, Updated At, and Career Site.
- The URL list page is updated with new pagination.
Email Templates
- (Enhancement) Template validations were added to ensure the user cannot delete the template used in:
- Mass Email and Email Campaigns
- Apply Workflows
- Candidate and Employee Portal

LinkedIn CRM Connect (EARLY ACCESS)
Switching between CRM and LinkedIn is time-consuming and can lead to manual errors. Teams working in different systems often duplicate outreach efforts.
What Changed
LinkedIn CRM Connect Integration

- One-click export from LinkedIn into jobs or folders in CRM.
- View notes added to the LinkedIn profile.
- Send InMail messages to the candidate.
- In LinkedIn:

Analytics
Tutorials Dashboard
Non-technical analytics users face challenges learning and navigating our Analytics interface. Currently, there are no user-friendly or intuitive places where these users can experiment or familiarize themselves with the system. This gap hinders their ability to utilize the analytics tools effectively, leading to frustration and inefficiency.
What Changed
The Tutorials dashboards are designed to familiarize you with the Analytics interface, guiding you to interact with dashboards (e.g., chart types, tooltips, legends, drill-downs) and use filters (e.g., date range, date interval, other).
NOTE: These dashboards do not show real customer data. They have been built off a static test data set.
Value
- Improved Usability and Adoption: New and existing Analytics users now have access to two dedicated dashboards for practice. These allow them to learn how to use dashboards and filters confidently without the risk of affecting any real data.
- Improved Performance: This enhancement ensures a smoother onboarding experience and promotes greater proficiency with our Analytics interface.

Open Jobs History Enhancement
Our system lacked the capability to provide a historical view of open and closed jobs over multiple periods despite receiving multiple requests each quarter for this data.
What Changed
A new standard dashboard, Open Jobs History, is now available in the Applicant Tracking > Requisition folder. This dashboard provides a comprehensive view of jobs open during a specified historical period. You can quickly drill down into the data for detailed insights and more granular information about job statuses.
Value
- Enhanced Capabilities: We enhance user experience and decision-making by integrating a historical view of open and closed jobs into our standard reports.
- Improved Performance: This improvement will address recurring requests for historical data, streamline access to job status trends across multiple periods, and add significant value by providing deeper insights and more effective analysis of job trends.

ATS & Rolepoint Referrals Standard Reports Content Cleanup
When we initially selected Looker as our BI vendor, our content creation was limited to either looks or dashboards. At first, we had to create a look for each tile within a dashboard to enable users to drill into the data. However, Looker's updates now allow us to create tiles directly in a dashboard with an 'Explore from Here' feature, facilitating deeper data exploration—critical for our enterprise customers.
While this enhancement has been beneficial, it has resulted in folders with historical dashboards cluttered with numerous individual looks visible to customers. This creates a cumbersome and overwhelming experience, as users must sift through excessive content to locate the information they need.
What Changed
We have rebuilt all outdated dashboards, built on individual looks as tiles in the Applicant Tracking and Rolepoint folders. We have ensured each dashboard is updated to utilize the 'Explore from Here' feature based on user permissions. We have removed the old looks attached to these dashboards with minimal views, schedules, and favorites, significantly enhancing and streamlining our user experience.
Value
- Improved Usability and Adoption: By rebuilding outdated dashboards and streamlining content, we will enhance navigation with a cleaner, more organized interface, making it easier for users to find and access the data they need. This better data management will reduce redundancy and ensure users work with the most relevant and updated information.

Career Site Tile on RM Company Dashboard Improvement
Previously, the Career Sites tiles reported metrics on Job Lists, which created confusion for customers and duplication of Job Lists since a job list can be used on more than one Career Site.
What Changed
We have updated the Career Sites tile at the bottom of the Recruitment Marketing Company Dashboard to be based on Career Site Domains instead of Job Lists.
Value
- Improved Performance: This improvement will reduce complexity and ensure that the Career Site tile metrics are more relevant and actionable, supporting better decision-making and user satisfaction.

Hiring Manager Dashboard
Hiring managers did not have a dedicated report to independently monitor and improve their recruitment processes without relying on recruiters for insights.
What Changed
The Hiring Manager dashboard enables hiring managers to track key metrics across their requisitions and overall pipeline, reducing reliance on recruiters to gather insights.
Value
- Improved Performance: This dashboard is designed to provide hiring managers with enhanced visibility into their recruitment processes. This allows them to focus on areas needing improvement and reinforce the aspects they have mastered.

Intelligent Messaging
SMS Content Unknown
In certain scenarios, candidates may enter the ATS without capturing their SMS consent status. When this occurs, we need a way to default the SMS Consent status to unknown to ensure we are compliant.
What Changed
Legacy Canvas will first support a new value of SMS Consent Unknown when the candidate doesn’t explicitly provide SMS Consent. The Unknown status will allow 1-1 recruiter-to-candidate texts but will prevent any mass, large outbound SMS campaign.
Value
- Improved Performance: Unknown status will only allow 1-1 Recruiter to Candidate text messages. Currently, only Recruitment Marketing is supporting an SMS Consent status of Unknown. This will be a centralized way to support Unknown Consent across all brands.
